People Profiles on Website
In order to ensure a consistent and uniform headshot displayed on our website (and other Armanino materials), a new headshot process rolling out that will alleviate much of the administrative burden on the team.
Before requesting a headshot, consider the following:
- Partners follow a different process since they are completed either during a merger or time of promotion.
- People headshots should still follow the guidelines of being market facing (sales-focused employees in the marketplace) and found in the “Find an Expert” section on our website (see next section to determine if they should be on the website).
- Authoring an article on our website or being a speaker on a webinar does not require the headshot process. A name is good enough for article authoring and any headshot can be used for webinars.
Do I Need a Headshot?
We do not have the resources, budget or need to collect headshots for everyone who works at Armanino and should be conservative in requests. See decision tree to determine necessity.
Decision Tree
Headshot Process Step By Step
Use the following steps when requesting an employee headshot.
- Open a project request in Workfront as per normal.
- Marketing Project Request > Things Found on the Web > People Profile
- Title your project accordingly (e.g., People Profile - Name).
Answer the additional questions that are now active on the request form. These are required as this is the information the photographer will need in order to make accommodations.
- Ensure the Target Due Date is set for the date you would like headshot in hand.
- This will depend on availability of photographer and timeline for corrections as well as SME approvals.
- For Timing
- Select Not Urgent Request to have the SME added to the next available group photo shoot.
- Managed by photographer.
- Select Not Urgent Request to have the SME added to the next available group photo shoot.
- Select Urgent Request to get the session scheduled.
- Managed by Project Manager.

Once the project is created, there will be a few new tasks on the project assigned to a photographer (schedule headshot session, headshot appointment), in this case Doug Allen.
- Doug will decide on what to do and issue an update on the project accordingly based on:
- If a current location scheduled for a shoot (e.g., Bay Area photo shoot, LA photo shoot, etc.)
- If enough request come through for a location shoot
- If it is an outlier location
NOTE: Doug has secured photographers in key locations to ensure quality and consistency in output.
- Once the shots have been completed, Doug will update the project with a link to the considered photos.
- Project owner will send the link to the SME and the SME will make their choice within the application.
- Doug will color correct the photos and then upload the final(s) to the project documents section.
- Project owner will receive the photographs and disseminate accordingly.
Frequently Asked Questions
Can I Suggest a Photographer?
Yes! Either you can post your suggested photographer in the project request, or you can send suggestions directly to our photographer, Doug Allen [email protected].
What is the Turnaround Time?
If the person is local to an office or we have a photographer in that geographic location, timing can be quicker. However, logistics and schedules can delay the overall process. See Workfront task timing to gain awareness of time needed.
What If It’s Urgent?
Check the “urgent” box on the Workfront intake form in order to notify the project resources there is an urgent need. Please include the reason in the additional details box why this is an urgent request.
Other Items to Note
- There is an overall report in Workfront that will have the info Doug will need in order to manage the shoots.
- It’s mainly for Doug but is a nice report that compiles everything.

- The responsibility of the project will now be the project owners, which is a shift in our former process with everything reliant on one point of contact. Due to this, Doug will be managing a fair part of the logistics on his side, when it is scheduled as part of the group photo shoot. Otherwise, the PM will coordinate with SME, which will aid in keeping everything uniform and brand appropriate.
